How do connected email senders work?

Choose the account that sends documents to your recipients.

Sender and recipient are different

The sender is the connected mailbox used to send an email. The recipient is the person receiving it. Your forwarding address receives attachments; it is not your connected outgoing mailbox.

Choose a provider

  • Connect Gmail, Outlook, or a professional SMTP account using the options available to your workspace.
  • Follow the provider’s connection flow and review the selected account.
  • Own email accounts depend on your plan and management permissions.

Built-in versus your own account

The built-in AI Sortify sender is available for automated rules. Manual document emails require one of your connected accounts. Select the intended sender in the rule or composer.

Test the connection

Send test sends a real email. Review the test action and result before using the account for document delivery.

Repair or disconnect

  • Use Reconnect when access expires or the account requires attention.
  • After reconnecting, inspect affected delivery attempts and use Retry where available.
  • Before disconnecting, check rules and drafts using that sender. Disconnecting a sender does not remove the recipient’s copies of previously sent emails.

Use the account actions menu

  • Open Connected email senders to inspect individual accounts.
  • Send test checks delivery using a real message.
  • Reconnect repairs the selected account’s authorization.
  • Disconnect targets that account; review automations using it beforehand.
  • If the account list fails to load, use its Retry action instead of treating an empty list as proof that all accounts were disconnected.
