Explore income, expenses, and monthly trends extracted from your classified documents.
- Classify documents with monetary information.
- Choose a year, currency, and folders for the report.
- Compare totals with the source documents when something looks wrong.
Start with classified documents
Finance reports use monetary information extracted from workspace documents: amounts, currency, money direction, and dates. They are document-based summaries, not a connected bank balance or a record of confirmed payments.
Example: An invoice with a gross total of €120 can contribute €120 to the report even if it has not been paid.
Read the overview
- Income: gross amounts classified as money the organization receives.
- Expenses: gross amounts classified as money the organization pays.
- Net: income minus expenses. This is not the extracted net-before-tax amount or a calculated tax liability.
- Documents: documents counted in the report totals. Records requiring currency review can be excluded from totals.
Example: €1,000 income minus €400 expenses gives a report net of €600.
Choose the report scope
- Select a year, a currency, and the folders to include. Folder selection can include their descendants.
- Currencies are viewed separately; the report does not convert exchange rates.
- Folder choices are remembered for the workspace in this browser or app.
- The current year filter can match document, classification, or upload year. A document can appear in more than one year selection.
Compare months and folders
Use the monthly chart and summary cards to see changes over time, then compare folder totals. Monthly grouping uses the document date. A document without a usable month can affect overall totals without appearing in the monthly breakdown.
Check the underlying files
- Search the document table and filter income or expenses. These table filters help inspect records; the report scope is controlled by the year, currency, and folder filters.
- Choose visible columns to inspect dates, type, total, and tax.
- Open document details to inspect extracted information, or open the original file. Opening its folder is available for supported Drive files.
Why a value may look wrong
- Check the source document, extracted amount, currency, and money direction.
- Check the selected year and folders before assuming a document is missing.
- Missing currency and validation warnings may require review.
- The web report currently loads up to 5,000 recent workspace file records, so larger workspaces may not be fully represented.
Reports and payment tracking
Use Invoice tracking for paid status, due dates, and reminders. Changing a payment status is a separate workflow from the Finance report calculation. Illustrations contain example figures, not your workspace data.
