What is email forwarding?

Forwarding sends a copy of an email to another address. Your private AI Sortify workspace address receives the attachments you send to it. You can forward individual emails yourself or set up a rule in your email provider.

Get started

Enable forwarding, copy your workspace address, and send an email with a document attached. For automatic forwarding, open Settings and follow the Gmail guide or your provider’s instructions. Choose which messages to forward in your mailbox—for example, messages from a particular sender that have attachments.

Confirm automatic forwarding in Gmail

Gmail sends a confirmation request to your workspace address. Expand Connected email and open View requests to review it. Check the mailbox shown, open the confirmation in Gmail, and finish your forwarding filter. Only confirm requests you recognize. Forwarding an individual email manually does not require this setup.

What happens to attachments?

With forwarding and auto-processing enabled, AI Sortify stores accepted attachments in your workspace storage and starts document classification. Your workspace configuration controls how documents are organized. You can find the results in Documents and check each email’s progress in Recent forwarded emails.

Auto-processing

The Auto-processing switch is in Settings. Turning it off stops automatic attachment processing. It is not a manual approval queue: do not assume messages received while it is off will be processed later. Keep both forwarding and auto-processing enabled for the automatic workflow.

Check results and resolve issues

Open a recent email to see the status of each attachment. The app can report duplicates, unsupported files, password-protected documents, processing failures, storage issues, and plan limits. Use the actions shown for that result, such as opening an existing document, retrying, or importing a skipped duplicate. Available actions depend on the issue and your workspace permissions.

File types and limits

Accepted file settings, your plan’s file-size limits, available classification quota, and storage access can affect processing. Review the reason shown for an attachment that was not processed. If a source attachment is no longer available, send it again.

Stay in control

Keep your workspace address private and share it only with people or services you trust. AI Sortify receives messages sent to that address; setting up forwarding does not give it general access to your mailbox. Use Settings to stop forwarding in AI Sortify, and remove or disable the forwarding rule in your email provider when you no longer need it.

Inspect each attachment

Open a recent forwarded email to inspect attachment-level results. One attachment can succeed while another is a duplicate, unsupported, oversized, or failed.

Import a duplicate deliberately

Import anyway creates another document and uses classification quota. The existing document stays unchanged. Check whether you actually need a second copy before confirming.

Optimize and continue

Where an oversized attachment offers optimization, review the result before uploading it. Keep the browser tab open while an optimized upload continues; classification starts in the background after the server accepts the file.
